Overview
A fantatic opportunity to join our company on a 9 month FTC for maternity cover, starting in January 2023 up until September 2023. This role extensively supports the Cheif Design Officer on both the enterprise level and as the Leader of LGD and LGBI. Combined with responsibilities across LIXIL Global Design (LGD) and LIXIL Global Brand Identity (LGBI) business units in 5 regions, this is an innovative role, with a high level of visibility, providing valuable insight and in turn ensuring that time, information, and decision-making processes are managed efficiently and effectively.
KEY RESPONSIBILITIES - include but are not limited to the following;
Provide day to day support to CDO
• Inbox management
• Extensive diary and travel management
• Support efficient time management
• Ensure deadline compliance
• Act as gatekeeper and point of contact for CDO
• Facilitate internal communications
• Maintain transparent communication
• Prepare pre reads and other vital information
• Provide support as needed
Provide support to LGD and LGBI
• Project manage global design intitatives and projects
• Project manage and deliver bi-yearly design leadership conferences, including minute taking and action follow up
• Project manage and deliver regular global design events such as townhalls, design day, and workshops
• Partner and manage relationships with key stakeholders globally
• Manage external partnership relationships
Provide financial administration support to the LGD and LGBI business units
• Oversee, track and manage budgets across London, EMENA, ASIA, AMERICAS for example, AOP preparation, approval processing, cross charging reconciliation, expense reports, BAB reconciliation and monthly evaluation reporting
• Partner with global Finance BP to ensure transparent communication and effective management of the budgets as a central function
• Coordination and approval processing of CDO direct reports expenses
• Manage and process CDO expenses
• Oversee, track and process four corporate credit cards
Provide human resources support to LGD and LGBI business units
• Act as point of contact between teams and enterprise level HR
• Coordinate performance reviews and action follow up for CDO’s direct reports
• Project manage and support preparation of the annual People and Organizational development strategy
• Coordinate and support the placement of employees through the LIXIL Global Design centre for excellence, end to end
• Project manage the implementation of special HR projects and initiatives
• Project manage, track and implement training and development requirements and opportunities across all regions
• Support in the recruitment process, including reveiwing job descriptions, interviewing, contract support and onboarding
Provide support to the CDO at enterprise level and as Leader of LGD & LGBI
• Ensure time, information and decision-making processes are efficient and effective, facilitating the CDO to be successful and productive in their role
• Assist in effective decision making through regular calls with CDO
• Attend regular and adhoc, internal and external meetings with the CDO, provide support and action follow up
• Prepare and draft content & analysis’ and provide support for internal meetings such as, Board meetings
• Prepare and draft content & analysis and provide meeting support for external meetings such as, investor meetings and design consultancies
• Coordinate the execution of strategic initiatives across the 6 major global in-house design studios
• Craft and deliver effective communication with other disciplines and functions, supporting cross functional collaboration and interaction
• Assess inquiries directed to CDO, determine proper course of action, and prioritize
• Identify, partner, and manage relationships with key internal stakeholders on the global design and enterprise level
• Support CDO in relation to enterprise councils and committees
