Job Overview:

We are seeking a highly skilled professional to build and maintain an internal knowledge database specifically for the HR department. The ideal candidate will have background in HR administration, knowledge management, and technical aptitude. This role requires the ability to document HR processes, create templates, and effectively store and manage information within a database system. The position will involve close collaboration with HR and other stakeholders to ensure accurate, comprehensive, and accessible documentation.

Your responsibilities:

  • Document and structure HR processes, including recruitment, onboarding, payroll, absence management, and employee development.
  • Develop and maintain a knowledge database, ensuring that all HR processes and SOPs are clearly documented.
  • Ensure effective organization and storage of documents in a knowledge database or document management system (Google Workspace).
  • Analyze existing HR processes to identify areas for improvement and optimization.
  • Collaborate with HR team members and other stakeholders to gather necessary information for documentation.
  • Manage the documentation project independently, ensuring timelines and objectives are met.
  • Create templates for HR documents such as employment contracts, onboarding checklists, and other HR forms.

Your profile:

  • Experience in HR: 2-3 years of experience in HR administration, with a broad understanding of HR processes. HR certification (e.g., HR Specialist) is a plus.
  • Knowledge Management: Proven experience in process documentation, building knowledge databases, and creating SOPs.
  • Technical Aptitude: Familiarity with knowledge management tools, databases, or document management systems (Google Workspace).
  • Analytical Skills: Strong ability to analyze and optimize processes, with a structured and detail-oriented approach.
  • Communication and Collaboration: Excellent written and verbal communication skills, with the ability to collaborate effectively with cross-functional teams.
  • Project Management: Ability to work independently, manage time effectively, and track project progress with minimal supervision.
  • Template Creation: Proficiency in creating and automating document templates using tools such as Google Workspace.
  • Knowledge of process improvement methodologies.
  • Experience managing documentation projects or similar independent initiatives.
  • Experience in automating document templates using macros or other form field technologies.
